## Required intake fields

Section A (1-12) and **Section C-10** (subset — Q1 platform, Q2 the 15 most-asked questions, Q3 lead notifications, Q6 existing chat plugin, Q7 hours of operation, Q8 tone exclusions). Calendar/CRM/Multi-language fields NOT required for Quick-Start.

## Day-by-day execution

- **Day 1 (purchase day):**
  - Intake form auto-sent within the hour
  - Production tracker row created · 30-day countdown clock set
  - If customer's 15 Q/A pairs come in intake, start drafting answers same-day
- **Day 2:**
  - 15-min kickoff call · confirm 15 Q/A pairs (or build them on the call)
  - Lock brand voice
  - Confirm website platform access
- **Day 3:**
  - Build chatbot on platform with 15 Q/A
  - Wire lead capture form to customer's inbox
  - Internal QA pass
- **Day 4:**
  - Customer preview link · 1 revision round
  - US reviewer sign-off
- **Day 5:**
  - Deploy embed snippet on customer's live website
  - Confirm chatbot loads on customer's site
  - Start the 30-day production monitoring

## During-30-day-live monitoring

- **Weekly:** Pull conversation logs · scan for Q/A gaps and escalations · ensure lead capture is delivering to customer's inbox
- **Day 14 (mid-month):** Quick email to customer with conversation snippet — "Here's an example of what your chatbot has been handling this week."
- **Day 28:** Automated alert in production tracker → US team sends the "Activate or Stop" email (template below)
- **Day 30:** Day-30 conversation report delivered (PDF — see template). If customer activates Starter, transition to Starter playbook. If customer chooses to stop, disable embed snippet within 1 business day.

## "Activate or Stop" email template (sent Day 28)

```
Subject: Your chatbot's been busy — here's what's next
Hi [first name],
Your AI Chatbot Quick-Start hits Day 30 in 2 days. Here's where you stand:
- [N] conversations handled
- [N] leads captured into your inbox
- [N] questions the chatbot couldn't answer (we'd add those to Starter)
You've got two choices. Both are fine.
1. ACTIVATE STARTER ($497/mo): Chatbot stays live, expands to 50 Q&A,
   monthly analytics, ongoing maintenance. No second Activation fee
   since we already built it. Just reply "activate" to this email.
2. STOP: We disable the chatbot on your site on Day 31. You keep the
   deployment docs + Q&A library. No charge. Just reply "stop" or
   ignore this email.
We'll send the full Day-30 report on Day 30 either way.
## Day-30 conversation report (PDF) — template
- **Top of report:** Total conversations · leads captured · questions answered · questions escalated
- **Top 10 questions asked** — with chatbot's answer · flag any that were answered poorly
- **Lead capture log** — N leads with names + emails (in PDF for record; live data already in customer's inbox)
- **Recommendations** — 3-5 things we'd improve if customer activates Starter
## Internal AI tools used (NEVER mention to customer)
Same as AI Chatbot service playbook — see `service-ai-chatbot.md` § "Internal AI tools used". Platform decision must be committed by Sanket before the first Quick-Start sells.
## Internal QA checklist (every Quick-Start, before deploy)
- [ ] All 15 Q/A pairs answer correctly when phrased 3 different ways
- [ ] Lead capture form fires and lands in customer's inbox
- [ ] Mobile + desktop render correct
- [ ] Embed snippet does not break customer's site (test on staging if available)
- [ ] No mention of internal AI tool/platform names anywhere customer-facing
- [ ] HIPAA disclaimer surfaced if customer is medical/dental
- [ ] Day-30 alert is set in production tracker
## Common gotchas
- **Customer's site platform is exotic** — flag during kickoff; full refund if we can't deploy
- **Customer wants more than 15 Q/A** — politely note tripwire scope; pitch Starter at Day 30
- **Customer has existing chat widget** — coordinate during kickoff; never disable without explicit approval
- **5-day SLA at risk** — escalate immediately; money-back if we miss for our reasons
- **No response to "Activate or Stop" email** — chatbot comes down on Day 31 (never auto-bill); follow-up email Day 35 to confirm they got the data export
- **Customer disputes value** — Day-30 report shows real conversations + real leads; that's the proof point
